Subscription & Payment Settings

Description

Block Booking When Subscription Fails

Block booking with the subscription when the subscription fails

Add Action on Subscription Cancellation

Select this box if you would like to add an action on subscription cancellation:

- Mark all reservations after billing cycle as unpaid
- Cancel all reservations after billing cycle

Enable Pay with Account

This option allows clients to choose to pay with their account balance at checkout. This option is not available for subscriptions and may result in a negative balance to the account, which can be paid off later.

Enable Refund with Account Credit

When this option is turned on, dollar amounts will be refunded with account credit to the client's account instead of returning to the client's payment method.

Enable Tipping in Point of Sale

Clients will see tip options during checkout at the point of sale

Ask for Payment Method

Clients with active memberships will be prompted to add a payment method, in the mobile app only, if they don't have one on file.

Allow Recurring Classes Without Payment Method

When this is enabled, clients can create recurring class bookings even if they don't have a payment method on file. When disabled, a payment method is required for recurring bookings.

Make revenue category mandatory for each offering

When this is enabled, partners (business owners) must select a revenue category when creating or editing pricing options and service types. When disabled, revenue categories are optional.

Reservation Management

Setting

Description

Enable Unpaid Reservation Resolver

Turn this on if you would like Arketa to automatically resolve unpaid reservations. The system will resolve unpaid reservations 12-72hrs before start time.

Additional settings:
- Charge Payment Method on File: if no pricing option is found, charge the client's payment method on file for the price of a drop-in.
- Cancel Unresolvable Reservations: cancel the reservation if the client doesn't have anything to auto-resolve and the auto-resolver cannot charge the client. The client will receive a cancellation email notification.

Block Double Booking

When this is turned on, clients will not be able to book the same class twice.

Show Spots Remaining

When enabled, the 'spots remaining' information will be shown on the class checkout experience. Disable to hide this information.

Additional settings:

  • Always show spots remaining

  • When this many or fewer spots remain - you can add in a custom number for spots remaining

Enable multiple credits required for booking

This allows you to set a specific number of credits required for booking classes, appointments, and events. When enabled, you can choose how many credits are needed for each type of booking.

Check-in Settings

Enable Client Check-In

This enables various check-in methods within your dashboard such as:


- Enable Gym Check-In: If you're a physical gym with space access, check this box. This requires Self Check-In or manual Front Desk check-in for all customers at your facility. You can select if you would like to require team member confirmation or not.

-Allow check-in outside of studio's geofence: Allow users to check-in even when their location is not within the studio's geofence. This is useful for outdoor classes or those who are unable to check-in due to poor GPS signal.

-Enable Barcode Check-In: Allow clients to check in by scanning a barcode at the front desk. You can assign barcodes to clients from their profile.
-Enable Self Check-In for Group Classes: This asks customers to Self Check-In for Group Classes inside the mobile app upon arriving to the studio.

Enable Auto Check-In from Email

Automatically check in clients when they click the livestream link in the confirmation email within 30 minutes before or after the class start time.

Allow Check-In for Unpaid Reservations

When enabled, this allows clients checking in with unpaid reservations without requiring payment to be resolved first.

Communication Settings

Description

Enable one-click unsubscribe for transactional emails

This will add a one-click unsubscribe link to all transactional emails sent to clients, allowing them to unsubscribe from emails

Enable Group Messaging

This allows partners and clients to create and participate in group conversations within the inbox and the branded mobile app.

Disable Confirmation Emails (Group Classes)

Disable receiving a notification for each booking. Clients will still be notified.

Disable Confirmation Emails (Appointment Booking)

Disable receiving a notification for each booking. Clients will still be notified.

Disable Confirmation Emails (Purchases)

Disable receiving a notification for each purchase. Clients will still be notified.

Client Experience Settings

Setting

Description

Enable Book for a Guest

Check this box if you would like clients to book for their friends. By checking this box your clients will be able to purchase a drop-in for guests. Please update each of your packages/subscriptions to allow clients to use these pricing options for guests.

Enable Purchasing Communities for Guests

When enabled, clients can purchase communities multiple times for their guests or family members. This allows account holders to buy access for others they know.

Prompt clients for default location in branded app

Check this box if you would like clients to be prompted to select a default location in the branded app if you have multiple locations.

Client Records

Check this box if you would like to keep track of your clients' records.

Show Room Name to Clients

When enabled, clients will see the name of the room after booking a class, helping them know where to go in your location.

Timezone Display

Enable to show session times in the local timezone, including the timezone abbreviation.

Show Client Profile Images

When enabled, client profile images will be displayed in check-in screens.

Legal & Compliance Settings

Description

Enable signed liability waiver

This will require clients to sign a liability waiver before booking. By disabling this clients will not have to sign, but rather will only have to click a checkbox.

Other options:
Reset Terms Agreement for All Clients: NOTE: this will reset liability waiver for ALL clients and they will be asked to sign again when they book.

Tax-Inclusive Pricing

When enabled (tax-inclusive), the displayed price includes tax. For example, if a class costs $100 and tax is 10%, the displayed price will be $100 (tax included).

When disabled (tax-exclusive), tax will be added on top of the displayed price.

For example, if a class costs $100 and tax is 10%, the displayed price will be $100 + $10 tax.

Enable signed agreement terms

When enabled, clients will be required to sign agreement terms before booking.

Staff & Access Settings

Setting

Description

Enable Time Clock

This will require all hourly employees to manually clock in when they start their shift and clock out when they complete their shift.

Additional settings:
- Round Time to Nearest 15 Minutes: When enabled, time clock entries will be rounded up to the nearest 15-minute increment. When disabled, time will be rounded to the nearest minute.

Disable Front Desk & Guest Team Members from adding clients as Free or Unpaid

When enabled, the 'Front desk' and 'Guest' Team Member pre-set roles/permissions will not be able to add clients to classes as free nor unpaid.
