Turning on the Time Clock Setting
Scroll to the bottom of the page and check the box to enable the time clock
Note: This must be done before Instructors will be able to use the Time Clock Note: Scheduled shifts alone are not used for payroll calculations; employees must clock in and out for their hours to be recorded.
Setting up Time Clock for Instructors
Select an Instructor
Click on Pay Rates
Scroll to the bottom of the page to General Pay Rates and toggle the option on
Select Salary or Hourly and you see will see a PIN generate for this Instructor to use when clocking in
Accessing Timecards and Clock-in/Out Records
To view staff clock-in and clock-out records:
Navigate to Staff > Team > Time Cards in the Arketa admin dashboard.
Select the team member to view their recorded hours.
For daily activity, you can review entries by day on the Time Cards page. Admins can also monitor live clock-in/out activity by going to Staff > Team > Time Clocking. Staff members can view their own timecards from the profile icon menu in the top-right corner of the dashboard after logging in.
Using the Time Clock for Payroll Reporting
To ensure accurate payroll reporting:
Enable the Time Clock feature in General Business Settings.
Create a team member profile and set up pay rates (hourly or salary).
Have employees clock in and out using their unique PIN.
Navigate to Team > Payroll Reporting to run payroll reports:
Click Run Report.
Select the payroll type and date range.
Click Run Report to view hours worked, payroll calculations, and a detailed breakdown of earnings.

Enter your PIN to clock in or out
Employees can use a shared device, such as a front-desk computer or tablet, to clock in and out by entering their unique PIN. They do not need to log into their own profile.

That's OK! You can always help locating PIN in the Instructor's profile under Team. Click on Pay Rates and scroll to the bottom of the page to view the PIN.
How is the PIN generated for Instructors?
The PIN will generate at the bottom of the Pay Rates page once Salaried or Hourly option is selected
Can salaried Instructors use the time clock?
Absolutely! Salaried instructors will show on the payroll reporting for tracking
Can employees clock in using the Arketa Business app?
No, the time clock feature is not available in the Arketa Business app. Employees must use the mobile dashboard in a browser or log into the dashboard on a computer to access the time clock.
Do employees need to log into their own profile to clock in?
No, employees can use a shared device to clock in and out by entering their unique PIN, regardless of which account is logged in on the device.
