You can turn on the option to allow instructors to sub a class in case they cannot teach or attend the time of the class.

Turning on Instructor Subbing

First, you will need to turn on the option to allow for subbing by following the steps below:

  1. Go to Settings > Sub Management (under Business Settings)

  2. Select Enable auto substitution management

    1. You can also select how you would like approvals to work - either auto-approve them or require a Manager to approve all substitutions:

How Instructors can sub a class: Auto-approved

  1. The instructor can click into a class that they need a sub for and click on "More" > Request Substitution

  2. Once they click on that, they will be given a text box to enter a comment and send the request

  3. Once the request is sent, the class can "picked up" by another instructor - either through the Sub Request tab or through the class itself:

  4. Once the Instructor picks up a class, they will see the pop up confirming that the request has gone through (automatically):

How Instructors can sub a class: Manager approval needed

  1. The instructor can click into a class that they need a sub for and click on "More" > Request Substitution

  2. Once they click on that, they will be given a text box to enter a comment and send the request

  3. Once the request is sent, the class can "picked up" by another instructor - either through the Sub Request tab or through the class itself:

  4. Once another Instructor has claimed the substitution, then the request will move to Pending Approval for an Admin of the business to approve - either through the class or the "Pending" tab under Sub Requests

How to review Sub Request:

  1. Go to Sub Requests under Classes - pro tip: you can "star" the section so you see it under "Favorites" at the top of your dashboard 😊

  2. From there you can see All, Pending, Completed, Canceled requests and take action from the drop down if a request is pending. As an admin, if you click on "Claim Substitution" you can also re-assign the class to another Instructor or cancel the request

Communication for Sub requests

Instructors:

  • Receive emails when a sub is requested for a class with a link to pick it up:

    • Example: "I'm requesting a sub for my class, Intro Pilates, on Thursday May 2, 2024 3:00pm PDT. You're receiving this email because you're eligible to teach this class."

Why can't an Instructor pick up a class:

This can happen if the instructor that is picking up the substitution isn't able to teach that type of class. If you need to update which classes an Instructor can claim, go to Teams > Click on the Instructor's name > scroll down to Approved Services and Categories and update from there!

Can Instructors sub classes without Admin approval?

Yes, only if you set the setting to be "Auto approve requested substitutions"
