Create payment plan

Create a payment plan for students to pay a monthly fee for a specified number of months to create a more affordable option for higher ticket items such as programs, retreats, etc. Arketa also supports deposits, installments, and invoices, offering flexible payment options for various needs.

Location --> Setup > Pricing

  1. Tap Add New

  2. Subscription

  3. Fill out the details as you normally would for a membership

    • Name

    • Billing frequency

    • Price

    • Redeemable for

  4. Under billing options view

  5. Update the number of billing cycles to be the number of times you want the charges to process within the payment plan

Number of billing cycles = The number of times you would like to charge the client total

Minimum billing cycles = The number of times a member must be charged before they are permitted to be cancelled

Collecting Deposits

Use a one-time payment option for deposits. For example, create a $500 deposit option in the community’s Payments settings. Alternatively, use a Pack (e.g., class pack) priced for the deposit amount to grant access to the event.

Combining Deposits with Installments

For a two-step workflow:

  1. Collect the deposit using a one-time invoice.

  2. Set up a subscription for the remaining balance, split into installments. For example, create a subscription for two payments of $800.

Aligning Payments to Specific Dates

To align monthly charges to the 1st of each month:

  1. Use a Membership pricing option.

  2. Set the initial setup fee to collect the down payment.

  3. Adjust billing cycles and activation dates for different signup months.

Handling Manual Payments and Invoices

  • For manual second payments, invoice attendees directly instead of using subscriptions. This avoids automatic charges.

  • Use invoices for one-time payments not tied to pricing options or credits.

Linking Credit Packs to Events

To make credit packs usable for events:

  1. Edit the credit pack and include the Events category in its applicability.

  2. Assign the event template to the same Events category. This ensures credits apply at checkout.

Limitations and Workarounds

  • Custom Deposits and Lump-Sum Payments: Arketa does not support custom deposit amounts followed by a single lump-sum payment. Use equal-payment plans instead.

  • Deposits for Private Bookings: Deposits are not supported for private bookings. Use cancellation policies to manage risk.

  • Duplicate Credits: To avoid issuing duplicate credits, use separate payment mechanisms, such as dummy classes or retail items, for deposits or remaining balances.

Example 3 monthly payments of $25 For example, for a $300 event, set up a subscription for $100/month with 3 billing cycles to collect a $100 deposit upfront and two additional $100 payments.
