Arketa provides robust email tools to help you communicate with clients effectively while ensuring recipient privacy. This guide outlines key features and workflows for using these tools.

Ensuring Recipient Privacy

When emailing clients using Arketa’s tools, recipient privacy is a top priority:

  • BCC Functionality: Emails sent via the "Email Clients" feature automatically BCC recipients. This means each client only sees their own email address and the sender’s address, ensuring that no recipient can view others’ email addresses.

  • Individual Emails: For event or class rosters, emails are sent as individual messages to each recipient. Functionally, this is similar to BCC but ensures each client receives a separate copy of the email.

Sending Emails to Class Attendees

To email all participants in a specific class:

  1. Open the class’s Student Roster.

  2. Use the roster’s bulk contact option to email all enrolled attendees at once. This is the intended workflow if the Broadcast dropdown is not visible.

  3. Alternatively, use the "Email Clients" action, which now routes through the Marketing Suite for class emails.

Excluding Specific Recipients (e.g., Instructors)

To email a class without including the instructor or to select specific recipients:

  1. Open the class’s email/send screen.

  2. Click the three-dots (more options) menu.

  3. Enable Multi-select.

  4. Manually select the clients you want to email.

  5. Send the email to the selected clients only.

Using Tags and Segments for Targeted Communication

For more targeted communication, such as sending a purchase link to attendees:

  • Option 1: Tag the clients who attended the class and send a broadcast to that tag.

  • Option 2: Create a segment that captures those attendees and send a broadcast to that segment.

Troubleshooting Common Issues

If you encounter issues, such as a missing Broadcast dropdown, use the Student Roster to initiate emails directly. This ensures all attendees are contacted without relying on other navigation options. By following these guidelines, you can effectively use Arketa’s email tools to communicate with clients while maintaining privacy and managing recipients efficiently.
