How to Enable and Manage Guest Booking and Passes in Arketa
Arketa provides flexible options for enabling and managing guest bookings and passes. This guide explains how to enable guest booking globally, configure settings for specific pricing options, create and manage guest passes, and understand the impact of changes on existing members.
Enabling Guest Booking Globally
To enable guest booking across your account:
Navigate to Settings > General Business Settings.
Toggle on the option labeled Allow guest booking.
Once enabled, the guest booking option will appear within your pricing settings, allowing further customization for individual pricing options.
Configuring Guest Settings for Specific Pricing Options
After enabling guest booking globally, you can configure it for individual pricing options:
Open the specific pricing option you want to modify.
Scroll to the bottom of the pricing option settings.
Adjust the Guest Booking settings to control how guests can be booked for that option.
Guest Settings for Class Bookings
When configuring guest settings for class bookings, you can set limits based on your policies:
Guest credit usage: Limits how many times a purchaser can use the pricing option to bring guests. Options include unlimited or a specific number (e.g., 1 for single use).
Guest visit limit: Limits how many times a specific guest can attend using the pricing option. For example, setting this to 1 allows the same guest to attend only once.
Creating and Managing Guest Passes
Creating a Separate Guest Pass Add-On
To offer a guest pass as a separate add-on:
Create a new pricing option in Setup.
Set the price (e.g., $10) and mark the Purchasing Option as Private.
Assign this private pricing option to specific members who should have access to the guest pass.
Adding Unlimited Guest Passes
To provide unlimited guest passes to a client:
Create a new pack and set it to Unlimited.
Enable guest usage in the Guest Pass section.
Make the pack free and hidden, then assign it to the client.
Specific Use Cases
Duet Pricing Options
For duet sessions, you can configure guest usage as follows:
Redeemable for: Select the specific duet service type/template to apply the option at checkout.
Guest usage: Enable this if you want the host to cover the guest’s cost (e.g., $55).
Impact of Changes on Existing Members
Changes to guest pass restrictions, such as expiry dates, apply only to new purchases and future billing cycles. Existing purchases retain their current settings.
