Credits in Arketa are a flexible payment method that allow clients to book classes, purchase packages, or pay for other offerings. Understanding how credits function and how to manage them effectively is essential for ensuring smooth client experiences. Below, we outline key aspects of credit management, including waitlist handling, resolving booking discrepancies, managing billing period credits, and enabling or disabling account credits.

Overview of Credits in Arketa

Credits are used as a payment method for various services in Arketa. They can be applied to bookings, packages, and other offerings, depending on your settings. Account credits, in particular, provide flexibility but can be disabled for client self-service if needed.

Waitlist Management and Credit Hold

What is the "Waitlist Credit Hold" Feature?

  • Checked: A credit is temporarily reserved when a client joins a waitlist. If they are moved into the class, the reserved credit is used. If not, the credit is returned.

  • Unchecked: Credits are not reserved for waitlisted classes. If a client is moved into the class, they must have an available credit at that time or will be prompted to purchase one.

Joining a Waitlist Without Available Credits

If "Waitlist Credit Hold" is enabled, clients must have available credits to join the waitlist. If it is disabled, clients can join the waitlist without credits but will need to purchase them before completing the booking.

Resolving Booking Discrepancies

Why Can’t Pack Credits Be Applied to Specific Events?

This issue occurs when the pack’s access settings do not include the event’s class template. To resolve this:

  1. Navigate to Setup > Pricing Options.

  2. Edit the relevant pack.

  3. Open Advanced Access Settings.

  4. Under "Applies to Class Templates," add the specific event’s class template.

  5. Optional: Remove "All In-Person Classes" under "Redeemable for" if you want to restrict credit usage.

After saving, the credit will be applicable to the event.

Managing Billing Period Credits

Why Can’t Clients Book Classes Without Credits in a Billing Period?

Clients cannot book classes in billing periods where they have no available credits. Bookings must align with the billing credit dates. If no credits are available for a specific period, the system will not allow reservations.

Enabling or Disabling Account Credits

How Do Account Credits Work?

Account credits allow clients to use their balance for bookings, packages, or other offerings. If you disable both "Enable pay with account" and "Enable refund with account credit":

  • Clients cannot use account credits at checkout.

  • Refunds will not be issued as account credits.

  • The credit system becomes unavailable for client self-service.

You can still manually add or remove credits from a client’s profile if needed.
