Shift Scheduling in Arketa allows you to manage staff availability and shifts efficiently. This guide explains how to enable the feature, configure settings, and manage schedules.

Enabling Shift Scheduling

To enable Shift Scheduling in Arketa:

  1. Navigate to your app's Settings.

  2. Go to General Business Settings.

  3. Scroll down to Staff & Access Settings.

  4. Turn on the Shift Scheduling feature.

Once enabled, the Shift Scheduling option will appear under the Staff section in your dashboard.

Configuring Shift Scheduling

After enabling the feature, follow these steps to configure Shift Scheduling:

  1. Set up shift scheduling at the global or per-location level in your settings.

  2. Assign team members to the appropriate job family (e.g., "Studio Operations") by navigating to Setup > Team.

  3. Define staff availability by going to Staff > Availability and using the Edit Availability option to enter their shifts.

Managing and Viewing Schedules

Once configured, you can build and manage staff schedules and view them alongside other schedules:

  • Building and Managing Shifts: Go to Staff > Shift Scheduling to draft, review, and publish shifts. When publishing or canceling a shift, you can notify the affected staff automatically.

  • Viewing Schedules: Navigate to Classes > Full Schedule > Studio + Staff to see classes, appointments, and published staff shifts in one calendar.

Notes:

  • Ensure each team member's availability is set before scheduling shifts to avoid conflicts.

  • Shift Scheduling is designed for front desk/operations staff. Instructors are managed separately via the class schedule.

Duplicating a Week of Shifts

To save time, use Duplicate Week to copy an entire week's shift schedule to a future week in one action — same staff, same locations, same shift times — instead of rebuilding it shift by shift.

  1. Go to Staff → Shift schedule and open the week you want to copy.

  2. Click Duplicate Week in the toolbar, next to Publish week.

  3. Pick any day in the target week — Arketa snaps to your studio's configured week start. Past weeks are not available as targets.

  4. Review the preview, which shows shift counts by staff and location, and lists any conflicts. Shifts that would overlap an existing shift for the same team member are skipped automatically — no one is ever double-booked.

  5. Confirm, then click Publish week on the target week when you're ready to notify your team.

Things to know:

  • Copied shifts are created as drafts — your team won't be notified until you publish the target week.

  • Shift times are DST-safe: a shift at 9 am–5 pm stays at 9 am–5 pm even across a daylight-saving change, using each location's timezone.

  • Duplicate Week always copies the entire week — staff and location filters on the calendar are ignored.

  • Cancelled shifts are not copied.

  • You can only duplicate into one target week at a time. To fill several weeks ahead, run Duplicate Week once per week.
